Managing the WorkBuddy Importer's Configuration

How to configure work order import formats in the WorkBuddy Importer

Prerequisites

  • The WorkBuddy Importer needs to be enabled on your WorkBuddy tenancy

  • Users will require Inbound Email > Access and Inbound Email > Manage permissions


The WorkBuddy Importer uses its configuration to determine which import format and customer to use when importing work order emails.

All the existing Importer Client import types are compatible with the Cloud-based importer. In the Cloud-based Importer, the import types are pre-filled with the standard values for most fields when you add a new configuration.

Adding an Inbound Email Configuration

To add an Inbound Email Configuration:

  1. Navigate to Settings > Inbound Emails

  2. Select the white "+ Add" button in the top right of the screen

  3. Select an Import Type. If you are unsure of which Import Type to select, feel free to contact support so we can assist

  4. Enter a name for the configuration

  5. Select a customer from your CRM that will send emails using the Import Type selected in step 3

  6. (Optional) Select an option for the Attachment Extensions field

  7. (Optional) Change the Minimum number Number of Attachments in the Work Order email to match against

  8. (Optional) Toggle the Save All Attachments on or off

  9. Select the blue "Save" button in the bottom right

When the Import Type is selected, most fields will be auto-populated with the correct configuration information.

If you would like to add a new Import Type for a new customer, contact support to start this process.

Editing an Inbound Email Configuration

In the case of a customer changing the format of their work order emails, the configuration can be edited by:

  1. Navigate to Settings > Inbound Emails

  2. Select the "Edit" button under the "Actions" column of the configuration you want to edit

  3. Edit the desired fields to match the new Email format

  4. Select the blue "Save" button in the bottom right of the window

The configuration can be disabled with the toggle under the "Active" column
